Privacy Policy

How we collect, use, store, and protect your personal data — and the rights you hold over it under the GDPR.

Last updated: 1 June 2026 · Quantum Business Code

1 · Data Controller

Who controls your data

Quantum Business Code is the data controller responsible for your personal data. You can reach us about any privacy matter at contact@qbizcode.com.

This policy applies to the General Data Protection Regulation (GDPR) and to equivalent data-protection rights. Because we serve clients in the EU, we apply GDPR-level protection regardless of where you are based.

2 · What We Collect

The data we hold about you

We collect only what we need to deliver the service you bought:

Email address — account, billing, deliveryRequired
Name — to personalize your engagementRequired
Company details — sector, size, stageService input
Photo — used as a calibration input where you provide oneOptional
Implementation Log — your monthly notes on what shiftedService input

We also collect basic technical data (such as device and approximate region) for security and analytics, and payment metadata processed by our payment provider — we never store your full card number.

When you send a form on this site, we also record your IP address, your browser type and the page you came from. We use this only to block spam and abuse of the form.

To see where the site loses people, we count page steps: which page was opened, which button was clicked, whether a form was started or sent, and the traffic source. This count uses no cookies and does not store your IP address, your email or anything you type.

3 · Why We Use It · Legal Basis

The purpose and lawful basis for each use

Contract. We process your email, name, company details, photo, and Implementation Log to deliver the program you purchased — this is necessary to perform our contract with you.

Legitimate interest. We use technical and analytics data to keep the service secure and to improve it, balanced against your rights.

Consent. Marketing emails are sent only where you have opted in. You can withdraw consent at any time using the unsubscribe link or by emailing us.

Legal obligation. We retain billing and contract records to meet tax, accounting, and legal requirements.

4 · Where Your Data Lives

EU hosting

Your personal data is hosted on servers located in the European Union. Where data is transferred outside the EU to a subprocessor, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses to keep your data protected to GDPR standards.

5 · How Long We Keep It

Retention: six years

We retain your personal data for up to six (6) years after your last engagement ends. This period reflects contractual, tax, and legal-evidence obligations — including the need to evidence whether refund and guarantee conditions were met. After this period, data is deleted or anonymized.

6 · Your Rights

Right to erasure means anonymization

Under the GDPR you have the right to access, correct, port, restrict, and object to the processing of your data, and to lodge a complaint with a supervisory authority.

Right to erasure (anonymization). You may ask us to erase your personal data. We honor this by anonymizing your records — removing all personal identifiers — while retaining a hashed, non-identifying record as legal evidence. We rely on Article 17(3)(e) GDPR, which permits retention where processing is necessary for the establishment, exercise, or defense of legal claims (for example, to evidence whether a refund or guarantee condition was met). The hashed record cannot be used to re-identify you.

To exercise any right, email contact@qbizcode.com. We respond within one month.

7 · Subprocessors & DPA

Who else processes your data

We share data only with vetted subprocessors who act on our instructions under a Data Processing Agreement (DPA) that requires GDPR-level protection:

Stripe — payment processingBilling data
cyber_Folks S.A. — email and website hostingEmail, name

Each subprocessor is bound by a DPA and may only process your data for the purposes we specify. We do not sell your personal data.

8 · EU Representative

Our point of contact in the EU

As a company established outside the EU that offers services to EU residents, we maintain an EU representative under Article 27 GDPR. EU residents may contact our EU representative on any data-protection matter via contact@qbizcode.com, marked "EU Representative". We will provide the representative's name and address on request.

9 · Security & Changes

Keeping your data safe

We apply technical and organizational measures — encryption in transit, access controls, and least-privilege handling — to protect your data. No system is perfectly secure, and we will notify you and the relevant authority of any breach as required by law.

We may update this policy. Material changes will be communicated by email. Questions: contact@qbizcode.com.
